FileCap】offers several ways of authentication. In addition to using a regular password, SMS or a one-time code via e-mail, you can set up a company password. But what exactly is it and how does it work?
The corporate password is functionality in FileCap devised to allow multiple people within the same organization to work with the same password. Because FileCap is a product that can also be used for internal messaging and file traffic within organizations, this option creates convenience for users while maintaining a certain level of security. Note: you cannot use this option with recipients outside your organization!
The company password for administrators
To use this functionality, the company password (in the interface Company password) must be set in the management console. In management, go to the Verification option and click further to Verification options. Then turn on the slider under Company password and use the cogwheel to set configuration options.
In this configuration you can specify the domain of your organization, for example bedrijf.nl, and the password you want to use. You can configure one password per domain; there are no restrictions on the length and complexity of the password.
Having set the password, you can still specify whether this should become the default authentication method for users. This can be interesting if FileCap is only or mainly used for internal mail! Optionally, you can also combine the company password with a second authentication method and thus use this functionality more securely and increase the security level of your organization.
The company password in use
Once configured, the key is to share the password securely. Preferably do this through a secure, encrypted channel and prevent people from writing down the password.
You use the company password by setting up a mail in the FileCap plugin under the authentication method chosen Company password select.
As the sender, you don't have to specify the set password, but the recipient will have to enter it when opening the mail.
When do you use it or not?
Reasons for using the corporate password functionality in FileCap may include:
- A shared password is more secure than working without one
- A shared password saves the administrative overhead of storing and maintaining multiple passwords
- A shared password facilitates and speeds up email processes
Still, the option is not without question wise for every organization to use. Avoid using the company password if you:
- Does not wish to incur additional security risks; if a shared password leaks, it could have greater consequences for the organization than the leak of a one-time password
- Face strict regulations: using a shared password such as a company password is not the best possible security for email and data
In addition, you will need to develop a policy to configure a new company password as the organization turnover occurs. It may be wise to refresh the company password every month anyway.
