The GGD (Municipal Health Service) for the Utrecht area protects, safeguards, and promotes the health of over 1.2 million residents in 26 municipalities in the province of Utrecht. The GGD is, amongst other things, involved in health research, provides vaccinations, advises municipalities on their health-related policies, and offers support to schools and day care centres on a healthy learning environment for children. Additionally, the GGD offers assistance in case of incidents in the region. The GGD Utrecht has 700 employees divided over nearly 60 locations.

The GGD Utrecht is involved with the health of more than a million residents. The medical files the organisation manages contain confidential information. Before FileCap, couriers or encrypted USB sticks were used when information from files had to be shared with other care institutions or GGD divisions. As this procedure was not only time-consuming but also not without risks, the organisation was looking for a safe and secure way to forward files. And, very importantly, the solution had to be user-friendly as well. Besides that, the organisation did not want to manage the data in the Cloud, but on its own server.
THE FILECAP SOLUTION
Charles Seegers, System Administrator at GGD Utrecht, emphasises the importance of a safe upload and download service for files. “Our teams work with personal data of our clients, which also contain names and addresses and sometimes their citizen service numbers. Needless to say that we cannot forward this data in an unprotected way or store it in the Cloud; the government has very strict rules about that.” Seegers came into contact with FileCap through another governmental institution. The built-in protection measures and the user-friendliness convinced the system administrator that this solution complied with the GGD requirements. “After a test period, we decided to install FileCap. This was extremely easy, except for one thing. As the server was in a DMZ, it could not email. This was no fault of FileCap, of course, but luckily the FileCap support department quickly located the problem. They advised us to enter a certain IP number after which the implementation went effortlessly and fast.”
With FileCap, the GGD Utrecht no longer has to use couriers
There are now 700 GGD employees using FileCap, and over the past year, 190,000 documents were safely uploaded and forwarded by email. “These figures show that our employees use FileCap frequently and without any problems. As an IT administrator, I’m very satisfied with this solution. Many companies and organizations don’t realise that email is a relatively old concept now, whereby it is easy for unauthorised people to access your files. As the GGD, it is vital that we prevent this from happening and to ensure that we send emails in a way that guarantees the security. By using FileCap, we manage to do just that.”
